Participant Transport vs Provider Travel

Learn the difference between transport provided to an NDIS participant and provider travel costs incurred when a provider travels to deliver face-to-face support.

The quick answer

These terms sound similar but describe different things. Participant transport is about helping the participant travel. Provider travel is about a provider travelling to the participant or another agreed location to deliver a face-to-face support.

Participant transport

Participant transport is travel support for the participant. Depending on the participant’s plan and service arrangement, this may involve a support worker assisting with a journey to an appointment, activity, workplace, study location or community destination.

The participant’s support needs during the journey and at the destination should be considered when planning the service.

Provider travel

Provider travel refers to travel undertaken by a provider or worker in order to deliver a face-to-face NDIS support. It is not the same as transporting the participant.

Current NDIS pricing rules can set conditions around provider travel and non-labour travel costs. Because these rules can change, participants and providers should check the current NDIS pricing information and agree relevant costs in advance.

Why the distinction matters

If these concepts are mixed together, it can be difficult to understand what service was delivered and why a cost appears. Service agreements and booking conversations should distinguish the participant’s journey from any travel the provider undertakes to reach the participant.

AIC Services aims to discuss expected arrangements before support begins so the participant understands what is being requested.

What to ask a provider

Ask whether a quoted transport-related amount is for transporting the participant, for a worker travelling to deliver the support, or for another agreed cost such as parking or tolls. Ask how it relates to the participant’s plan and service agreement.

For current price limits and claiming rules, use the latest NDIS pricing schedules rather than relying on old dollar figures.
